Challenge
A student program lives or dies on turnout, and turnout depends on how easy it is to find an event and sign up. Microsoft Learn @ UNCC was promoting workshops through group chats and one-off forms, with no single page that told a student what the program was or when the next event ran.
Running each event meant rebuilding the same thing from scratch, a new form, a new sign-up sheet, a manual check-in at the door. Organizers spent more time on logistics than on the workshops themselves, and had no reliable count of who actually showed up.
“We were teaching students to build with modern tools, but we were running the club on spreadsheets and screenshots. We needed the program to look and work the part.”
Solution
Virtuollis built a clean landing site that explains the program and always shows the next workshop, so a student who hears about it once can find it again in seconds. It doubles as the front door for every event the program runs.
Behind it sits a custom event platform: one link per workshop for registration, a live roster, and fast check-in at the door. Organizers can stand up a new event in minutes and see exactly who registered and who showed.
Results
The platform launched ahead of the semester's first workshop and became how every event since has been run.
Microsoft Learn @ UNCC now runs every workshop through the same site and platform, with new features added as the program grows semester to semester.
“Setting up an event used to take an afternoon. Now it takes a few minutes, and the whole program finally has a home online.”
